I’m receiving spam emails

Unfortunately spam is an unavoidable issue faced by the world of electronic mail. The more emails you send and receive, and the more contacts you have, the more likely it becomes that at some point or other you will receive some spam.

There are a few programs available to help stem the flow of spam, but these will never be 100% effective in all circumstances.

The best thing you can do to begin with, is ensure that none of your contacts are sending you chain email. Also, by exercising caution and only using your email address to create user accounts on websites you trust, you will be helping to prevent your email address from falling into the hands of spammers.

Most email programs enable you to mark an email address as spam, so that all further emails from that particular address are forwarded directly to your junk mail folder. You should remember to check your junk mail folder periodically to ensure that no legitimate emails are being marked as spam by mistake.

If you find you are getting a lot of spam, you can change to a new email address, or use a secondary email address and keep one of them more private – we are quite happy to set this up for you, but we cannot monitor the content of emails sent across the internet, nor delete any emails for you, including spam.

I’m not receiving emails / My inbox is full

Many people use Outlook to manage their email. One thing many users aren’t aware of, is that even though you download the emails from the server to your PC, copies of the emails can remain on the server.

If too many old emails build up over a period of time, your inbox can become full and stop receiving new emails. All subsequent emails are then bounced straight back to the sender, with an error message.

To avoid this, log into your email account directly, via Europa’s Email Interface, then simply delete the old excess emails, to make space for the new ones. Emails that bounced while your inbox was full, however, will need to be resent by the sender.

We suggest that you keep a close eye on this and tidy your email inbox once a month or so, to ensure that you don’t miss any important communications.

Outlook times out while receiving emails

Sometimes Outlook may “time out” (ie. stall) while downloading emails. This is often caused by a full email inbox, much like the issue above, and most often encountered when trying to download an email containing a large attachment (for instance a large photograph) over a Dial-up connection.

Dial-up is a slow alternative to broadband, and nowhere near as capable of downloading large files and folders.

As an example, suppose you have 20 emails waiting to download, and the 18th email is a 5MB file of photos – you might receive all your messages up to the 18th, at which point the download fails. This will happen repeatedly, and the download will restart from the first email each time.

To avoid this, simply log into your email account directly, via Europa’s Email Interface, and delete the old excess emails and any that are too large for your dial-up connection to handle (you can identify the large emails by looking under the heading for Size on the right hand side of the email screen). Anything marked with MB can be considered large.

How do I set up Outlook?

Many customers choose to use Outlook to manage their email accounts.

There are 3 different versions of Outlook, as listed below. Simply follow the appropriate guide, using the following settings:

  • Account type: unless you have a reason to do otherwise, select POP3
  • Display name: your name eg. Joe Smith
  • Email address: your email address, eg. joesmith@europa-network.com
  • Incoming mail server: mail.europa-network.com
  • Outgoing mail server: mail.europa-network.com
  • Account name: your email address eg. joesmith@europa-network.com
  • Password: your email password
  • Remember password: make sure this is ticked
  • My outgoing server requires authentication: make sure this is ticked
